TransformGov Talks is a fully independent organisation that organises the TransformGov Talks event series and has done so since 2024. Our community is always at the heart of what we do, and we want to continue to make sure we’re doing our best to protect information about you that you’ve trusted us to hold. This privacy policy will explain how we use the personal data we collect from people who attend our events and / or sign up for our events, newsletter or volunteer mailing list.

What data do we collect?

TransformGov Talks collects the following data:

 

  • TransformGov Talks uses Meetup.com to handle registrations for events. From that we may have access to the following.

    • Your name

    • Your profile bio

    • The list of your other Meetup groups on your profile

    • Past events you have attended on your profile

    • Whether you have RSVPed as 'Yes', 'No', or 'Maybe' to the event.

    • The date and time you responded to the event invitation.

    • Event-Specific Information:

      • Answers to event specific questions

      • If you have indicated that you will bring guests, the number of guests

    • In some cases, if you have given permission or if Meetup's privacy settings allow it, the organiser might see your email address.

    • Your interaction with the event page, such as comments or any discussions you are part of.

  • If you choose to sign up for our newsletter we will record your name and email address in our newsletter system (ConvertKit).

  • If you sign up to be part of the volunteer group we will have access to your name and email address via the system we use for that (Google Groups).

  • We may periodically survey our attendees and newsletter subscribers to measure the demographics of our community. If we do that we will include the specific data gathered here.

How do we collect your data?

  • When you register for an event.

  • When you sign up to the newsletter.

  • When you join the volunteer email list.

How will we use your data?

  • To track attendance at events.

  • To send our newsletter to subscribers.

  • To communicate with our volunteers.

  • Potentially in future to track the demographics of our community.

We will not share data about you  with any third parties under any circumstances. Only TransformGov Talks organisers have access to this data. A list of organisers can be found on our website.

How do we store your data?

TransformGov Talks securely stores your data in the cloud by using trusted 3rd party systems. See their own privacy policies for further details. As per Article 5 (e) of the GDPR, TransformGov Talks will keep your data for no longer than the time we need to process it.

Marketing

TransformGov Talks will never send you marketing materials for anything other than the events series itself.

What are your data protection rights?

TransformGov Talks would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

  • The right to access – You have the right to request TransformGov Talks for a copy of your personal data

  • The right to rectification – You have the right to request that TransformGov Talks correct any information you believe is inaccurate. You also have the right to request TransformGov Talks to complete the information you believe is incomplete.

  • The right to erasure – You have the right to request that TransformGov Talks erase your personal data

  • The right to restrict processing – You have the right to request that TransformGov Talks restrict the processing of your personal data

  • The right to object to processing – You have the right to object to TransformGov Talks’s processing of your personal data

  • The right to data portability – You have the right to request that TransformGov Talks transfer the data that we have collected to another organisation, or directly to you.
